Terms and Conditions

These terms govern your access to and use of the YourFlowBuilder website, products, tools, and related services.

Acceptance of terms

By accessing or using YourFlowBuilder, you agree to these terms. If you do not agree, do not use the services. If you use the services for an organisation, you confirm that you have authority to bind that organisation.

Accounts

You are responsible for providing accurate account information, protecting your login credentials, and all activity under your account. Notify us promptly if you suspect unauthorised access.

If you administer an account for a business or invite team members or service providers, you are responsible for confirming that they are authorised, assigning appropriate access, and ensuring that your organisation’s use of the services complies with applicable law.

Use of the services

You may use the services only in compliance with applicable laws and these terms. You must not misuse the services, interfere with their operation, attempt unauthorised access, distribute malicious code, infringe another person’s rights, or use the services for unlawful or deceptive activity.

Your content

You retain ownership of content you submit. You grant YourFlowBuilder a limited licence to host, process, reproduce, and display that content only as needed to operate, secure, and improve the services. You are responsible for ensuring you have the rights needed to submit your content.

You are responsible for providing any notices and obtaining any permissions or consents required before entering or uploading information about customers, contacts, employees, providers, website visitors, or other individuals.

Generated content and tools

Outputs from automated tools, templates, and AI-assisted features may contain errors or may not suit your circumstances. You are responsible for reviewing outputs before using or publishing them. Legal-document generators provide general starting points and are not legal advice.

Paid services

If you purchase a paid plan, you agree to the price, billing cycle, included features, applicable taxes, and cancellation terms displayed at checkout or in your order. Unless otherwise stated, subscriptions renew automatically until cancelled. You authorise us and our payment processor to charge the payment method provided for amounts due.

Cancellation prevents future renewal but does not normally provide a refund for an already-started billing period. Fees are non-refundable except where required by law, expressly stated at purchase, or confirmed by us in writing. Failure to pay may result in limitation or suspension of paid features.

Intellectual property

YourFlowBuilder and its licensors own the services, software, branding, and related intellectual property, excluding your content. These terms do not transfer ownership rights to you.

Third-party services

The services may integrate with or link to third-party services, including payment, communication, analytics, AI, hosting, and calendar providers. Your use of those services may also be governed by their terms and privacy policies. YourFlowBuilder is not responsible for their availability, content, decisions, or independent practices.

AI-assisted features

AI-generated responses, suggestions, websites, templates, and other outputs may be incomplete, inaccurate, or unsuitable for your intended use. You must review outputs before relying on, publishing, or sending them. You must not use AI-assisted features to violate law, infringe rights, mislead others, or make decisions with significant legal or similar effects without appropriate human review.

Notifications and customer communications

You are responsible for the accuracy of recipient details and for having any consent required to send appointment messages, reminders, follow-ups, marketing communications, or other notifications through or with the assistance of YourFlowBuilder. You must provide required opt-out mechanisms and honour applicable communication preferences.

Suspension and termination

We may suspend or terminate access where reasonably necessary to protect the services, users, or third parties; respond to legal requirements; address non-payment; investigate misuse; or enforce these terms. You may stop using the services or request account closure at any time.

After termination, your right to use the services ends. Subject to applicable law and our Privacy Policy, content or records may be deleted, de-identified, retained for a limited period, or exported where an available export feature permits. You are responsible for obtaining any required copy of your content before access ends.

Disclaimers and liability

The services are provided on an “as is” and “as available” basis to the extent permitted by law. We do not guarantee uninterrupted operation or that every output will be accurate. To the maximum extent permitted by law, YourFlowBuilder is not liable for indirect, incidental, special, consequential, or punitive damages.

Google Calendar Integration

Each business booking setup may connect one master/business Google Calendar. Connecting an individual service provider’s Google Calendar is optional.

Master calendar

An authorised administrator may connect the business’s master Google Calendar. The administrator confirms that they have permission to connect and manage that calendar for the relevant business.

Confirmed appointments may be synchronized with the master calendar.

Provider calendar

An administrator may generate a time-limited connection link for a service provider. The link must be shared only with the intended provider.

The provider can use this link to connect their own Google Calendar without receiving access to the YourFlowBuilder admin dashboard.

You must not generate or share a connection link for someone who is not authorised to connect that provider’s calendar.

Permission granted to YourFlowBuilder

By connecting Google Calendar, the connecting user authorises YourFlowBuilder to:

YourFlowBuilder uses this permission only to provide the booking and calendar-synchronization functionality described here and in our Privacy Policy.

Calendar availability

Provider availability may be calculated using:

If Google cannot check a connected provider’s availability, that provider’s booking slots may be temporarily hidden to reduce the risk of double booking.

If a provider disconnects or revokes Google Calendar access, availability may continue using configured working hours and internal YourFlowBuilder bookings without Google busy-time information.

Users are responsible for reviewing provider availability settings and calendar-connection status.

Booking event synchronization

When an appointment is confirmed, YourFlowBuilder attempts to create the related event in:

If the master and provider connections point to the same Google Calendar, YourFlowBuilder attempts to create only one event.

When an appointment is rescheduled through YourFlowBuilder, the corresponding mapped Google events are updated.

When an appointment is cancelled through the supported YourFlowBuilder cancellation API, the corresponding mapped Google events are deleted.

The internal YourFlowBuilder booking remains the primary booking record. A temporary Google Calendar failure does not necessarily cancel a successful internal booking, rescheduling or cancellation. Calendar synchronization may be retried in the background.

Users should check the booking status in YourFlowBuilder if it differs from the information displayed in Google Calendar.

Disconnecting Google Calendar

An authorised user may disconnect Google Calendar through YourFlowBuilder or revoke access through their Google Account settings.

Disconnecting:

If an existing calendar event should be removed, cancel the related booking through the supported YourFlowBuilder flow before disconnecting, or remove the event directly from Google Calendar.

Google Calendar is a third-party service governed by Google’s terms and policies. YourFlowBuilder does not control or guarantee Google Calendar’s availability, accuracy or uninterrupted operation.

Disputes and applicable law

Before starting formal proceedings, you and YourFlowBuilder agree to make a reasonable good-faith effort to resolve any dispute by written notice describing the issue and requested resolution. Mandatory rights and the laws and courts that apply to a dispute are determined by applicable law and cannot be excluded by these terms.

Changes

We may update these terms or the services. Material changes will be communicated through the website or another reasonable method. Continued use after an update takes effect means you accept the revised terms.
